Meeting Minutes – March 5, 2009

The Area 4 Information Management Advisory Committee met at 1:30 p.m.. on Thursday, March 5, 2009, via the Elluminate web conferencing application.

Members in attendance were Regina Gardner, Jones County; Tammy Kelly, Lenoir County; Michelle Shooter, Robeson County; and Debbie Stroud, Johnston County.

Adrian Gaskins, area information management agent, welcomed the group and introduced Regina Gardner as a new member of the committee.

Next, Gaskins demonstrated the polling feature of the Elluminate web conferencing system. Advisory committee members responded to a series of items to practice using the polling feature and then observed graphing of the resulting data.

Gaskins also provided an overview of his job activities in the 25-county area during 2008. He highlighted his actions in the areas of programming, marketing and communications, professional development, and teamwork.

Gaskins reminded committee members of the ultimate desired impact of the IM agent position – that county employees will adopt and use technology to enhance their ability to deliver Extension’s research-based information to the residents of North Carolina.

Toward achieving that desired impact, Gaskins requested the assistance of committee members in shaping the course of programming for 2009. He asked them to provide advice about technology training, to offer suggestions that he could pass on to campus Extension Information Technology employees, and to glean and share input from their coworkers.

Next, Gaskins provided an update of the upcoming virtual information technology conference scheduled for March 24. He told the group about session topics, explained the registration process, and encouraged advisory members to promote participation.

Gaskins also told committee members about training sessions being held prior to the virtual conference to acquaint employees with Elluminate.

Advisory committee member Michelle Shooter advised the group to use caution when posting to Facebook and other social networking sites. Shooter cited an example of an education system employee who had suffered job repercussions for a personal post on a social network. Gaskins mentioned that a session during the upcoming virtual conference would be devoted to the use of social networking sites by Extension employees.

Gaskins also told committee members about the eXtension Ask an Expert widget that is being piloted in several counties in Area 4.

Finally, Gaskins reminded members of the other advisory committee meetings for 2009:

Wednesday, September 16, at 9:30 a.m.
Tuesday, December 8, at 9:30 a.m.

After thanking committee members for their input and support, Gaskins adjourned the meeting at 2 p.m.
